Intake Coordinator: Part-Time (Remote In FL, GA & KY)

JOB DESCRIPTION:

The Intake Coordinator will manage the registration process of patients, providers, & clients.

JOB RESPONSIBILITIES:

  • Gathering patient information

  • DEMOS

  • RX

  • Progress Notes (PN)

  • Carrier/Payer information

  • Create & maintain patient records

  • Accurate patient information

  • Obtain all Carrier and/or payer insurance information

  • Verifying delivery and/or completion of products/services being rendered

  • Reassigning patient files/orders to appropriate department

  • After Creating of records for new patient/orders then intake will assign patient file to operation

  • Once completion is verified then intake assigns the patient file to the billing department.

  • Maintain Inventory

  • Create new items that are brand name and do not currently exist

  • Create new items based on HCPCS or CPT code as needed

DUTIES:

  • Manage the Intake email orders

  • New patient referrals/orders

  • All new referrals/orders need to be reviewed and responded to with in 15 minutes from receiving the referral/order

  • If information is missing the request should be sent back to the referral source for the missing information. Required information needed on every order is:

  • Patient DEMOS (name, address, phone number, date of birth)

  • Product/service being request and RX to support them

  • Payer/carrier information:

  • Company name

  • Claim Number of the patient’s file

  • Adjuster/Nurse case manager’s name

  • Contact phone number

  • If all required information is available/ included in referral

  • Search BT for patient

  • If patient does not exist add patient shell record

  • If patient does exist, note the patient record of the new order

  • Verify patient DEMOS

  • Call patient and verify phone is correct on all patients

  • Let them know who we are and the product/service we are coordinating for them

  • For delivery DME item confirm the patient’s address and that packages can be received at that address

  • For services, let them know someone will be in contact to schedule their appointment (this usually will be for the initial evaluation)

  • If a fax comes in that was requested by intake, i.e., RX, DEMOS, etc.

  • Log that it was received in the notes and forward to the assigned processor

  • If the fax was requested outside of the intake department, the fax should be forwarded to the appropriate department

MINIMUM QUALIFICATIONS:

  • Required - High School or GED

CANDIDATE SKILLS:

  • Positive Attitude and willingness to treat everyone internal and external with superior customer service

  • Good interpersonal/verbal communication skills

  • Must have good written communication skills

  • Ability to effectively present information and respond to questions from peers and management.

  • Ability to multi-task

  • Must be well organized

  • Must be detailed oriented

  • Ability to handle high pressure

Job Type: Part-time

Pay: $21.00 - $30.00 per hour

Expected hours: 20 per week
